When do I need to anonymize documents?
Documents must be anonymized if they contain personal data but the processing does not require a personal reference.
Under Art. 5(1)(c) GDPR (data minimization), personal data may only be processed to the extent necessary for the purpose.
Anonymization may be required if:
- data is to be disclosed to third parties (e.g. external audits, presentations, research)
- data is to be used internally for purposes other than the original purpose (purpose limitation)
- data is to be archived or published
Which documents must be anonymized?
Examples of documents that must be anonymized include:
- documents containing personal data that are to be used for training or analysis purposes (application documents, statistics, etc.)
- data copies provided to data subjects in response to access requests under Art. 15 GDPR (email threads, time tracking, etc.). In these cases, all personal data of third parties must be anonymized.
How does anonymization work?
The document imported into the tool is analyzed and all personal data is marked. With one click, either all data or only selected data (e.g. only names or addresses) can be anonymized via a selection menu. The anonymized document can then be exported in the desired file format with another click.
